Job Posting: Athletic Department Secretary/HS Cafeteria Monitor
Athletic Director Secretary - 5.5 hours per day
Reports to: Athletic Director
Performs administrative assistant and clerical duties for the athletic department. Provides support services necessary for the effective management of the athletic program.
- Performs secretarial and administrative support duties. Takes the initiative to perform routine tasks independently and organizes and maintains a functional filing system that ensures the safe retention and efficient retrieval of office records.
- Maintains an office calendar and athletic schedules.
- Keeps current with program, policy, and procedure changes. Helps keep students, parents, and staff informed about relevant issues. Helps communicate information about weather delays and program cancellations or changes.
- Maintains the athletic schedules through technology. Prepares and distributes schedules, team information, eligibility reports and other information to coaches.
- Prepares lists of game officials and workers. Schedules and confirms assignments, time sheets and payment records.
- Prepares information for the Ohio High School Athletic Association as directed.
- Helps prepare game programs, brochures, public service announcements, etc.
- Updates athletic handbooks.
- Ensures that medical authorization forms are updated and provided for all sports.
- Helps arrange transportation and lodging for sanctioned activities away from home.
- Maintains an inventory of ticket stock and helps with pregame ticket sales.
- Prepares game reports and ensures receipts and expense records are suitable for audits. Prepares and makes bank deposits.
- Collects, compiles, edits, and types statistical data and reports as directed.
- Maintains an assignment record for athletic keys and inventory lists.
- Maintains office transaction records (e.g., petty cash, receipts, contributions, etc.)
- Prepares purchase orders as directed. Maintains procurement information.
Evening athletic event coverage is expected for the purpose of ticket management. This responsibility is paid per event, above and beyond normal daytime duties.
This position will also include study hall coverage during the school day for 1-2 periods per day.
High School Cafeteria and Study Hall Monitor – 1 hour per day
Reports to: High School Principal.
Study Hall monitoring falls under the 5.5 hours per day athletic secretary duties.
- Supervises students during lunch periods and study hall.
- Determines study hall seat assignments. Takes attendance. Upholds study hall rules.
- Authenticates student requests to leave the study hall for other destinations and keeps track of the location of each student assigned to the study hall or cafeteria.
- Performs other specific job-related duties as directed
Minimum Qualifications: High school diploma, Post-secondary secretarial or office management training is desirable.
- Meets all mandated health requirements
- Documentation of a clear criminal record. (FBI/BCI background check)
- Proficient in record keeping skills and congenial telephone etiquette.
- Proficient in office protocol and use of technology.
- Working knowledge of high school athletics
